  • Participates in planning and status meetings;
  • In collaboration with the Office Co-ordinator: conducts a review of the records held at the offsite storage site, Access; coordinates with Business Administrators and Managers at all locations to arrange for delivery and sorting of file boxes;
  • Supports Business Administrators and Managers to classify, organize and determine the appropriate location of files, or to have files destroyed; and updates and stores master documents and lists;
  • In collaboration with the Part-Time Administrative Assistant: conducts a review of historical documents and materials (photographs, clippings, etc.);
  • Develops a plan for organizing and displaying items, physically and/or digitally; and scans, files and stores documents;
  • Types correspondence, memos, and forms;
  • Maintains accurate notes, calendars and project planning documents;
  • Performs filing, photocopying, scanning and faxing;
  • Ensures confidentiality of documents;
  • Ensures that the Health and Safety Guidelines are followed in accordance with the policies and procedures of YWCA Toronto;
  • Any other duties/special projects as assigned by the Manager.


  • Eligible for employment through the Canada Summer Jobs program;
  • An interest in administrative or business careers would be an asset;
  • Advanced competence in the use of computer software packages in word processing and desktop publishing is required as well as good oral and written communication skills;
  • Highly detail oriented with a focus on quality and accuracy;
  • Ability to manage confidential information and deal with sensitive issues;
  • Excellent organizational and administrative skills;
  • Ability to work under pressure in a fast-paced environment;
  • Ability to work with a range of people within a multi-cultural unionized environment.
