Under the direction of the Director of Operations and working closely with the Secretary of the Governing Council and directors within the Office of Governing Council, the OGC Information Management Analyst is responsible for providing record and document management solutions to improve the Office of Governing Council’s business processes, manage confidential institutional records, and to more effectively create, exchange, manage, and share information and content.
The OGC Information Management Analyst provides advice with respect to document management solutions and acts as the site administrator for the portfolio’s SharePoint site(s). The incumbent is responsible for the development, implementation, and administration of unit SharePoint sites, including any required customizations. They oversee the day-to-day management and operation of the Office of the Governing Council portfolio’s SharePoint system and will be a key participant in conceptualizing system changes to integrate with the University’s business processes. The incumbent is responsible for the reorganization of the Secretariat’s SharePoint site, as well as the creation of new sites for each of the OGC units. The incumbent will also plan, evaluate, implement, and configure service packs and upgrades; prepare documentation and reports and provide user support.
This role will have access to confidential and sensitive information related to all areas of the University’s functioning, including in-camera HR documents for governance, records of the Secretary of the Governing Council and Secretariat at large, FIPPO, ADFG, and Internal Audit. Sound judgment, consultative skills, initiative, and the ability to maintain confidentiality are a must. The position also acts as backup to other members of the operations team, covering a wide variety of duties.
