The Provincial Archives of Saskatchewan requires a permanent full-time Reference Clerk to work in Reference and Outreach Services. Under the supervision of a Reference Archivist, and the Manager of Reference and Outreach Services, the successful applicant will play an essential role in providing a variety of client services.
With your experience and commitment to customer service you will provide receptionist duties by greeting and registering clients, and provide orientation to clients including the use of microfilm readers and printers. With your knowledge of basic archival standards you will conduct basic conservation work for archival records and assist with the upkeep and maintenance of the reading room. You will also have a key role in the retrieval and interfiling of documents (requiring the ability to lift and carry, on a regular basis, boxes weighing up to 10 kg, and, on a less frequent basis, boxes weighing up to 30 kg).
With your background in administration and/or finance you will handle financial sales with clients, balance and deposits cash funds, and create invoices. The position has data input responsibilities and a primary role of the position is tracking and documenting statistics relating to the work described above. With your knowledge of scanning and image editing software you will have a primary role in preparing reproduction orders for clients according to archival standards. With your knowledge of graphic design you will contribute to the development of promotional material using graphic design software. The position will also perform other tasks related to the program as assigned by the Manager, in keeping with the scope and classification of this position.
As the successful candidate, you must have knowledge of common office and/or administrative procedures and protocols, and be familiar with the function of common office equipment and software. You will have experience with image editing, scanning, and graphic design software. As well, you must have knowledge of basic archival conservation procedures.
The knowledge and abilities required for this position would typically be obtained through experience working in an office, archives, or library environment. Additional education obtained from undergraduate courses in history or the Social Sciences, archival or library technician course work, and/or secretarial/administrative services training is an asset.
Candidates must have a valid driver’s license and be willing and able to work in an environment where there may be exposure to dust, moulds, mildew, and physically lift, move and/or transport heavy boxes of materials weighing up to approximately 30 kg onto shelves and/or between worksites using a CVA vehicle.
There will be screening tests and exercises administered as part of this competition.
