Position summaryUHN Foundation has been growing quickly and needs to put in place a structure for capturing, managing, and mobilising knowledge assets across a range of user groups from fundraising through donor stewardship and marketing. Assets are varied in purpose and format and include Word, PDF, design files, photography and video. Several user groups all with different needs, different levels of technical competence, and different levels of understanding of what assets might exist. We are looking for a curious, analytic and empathetic intern who can work with our communications and technology teams to put in place an affordable (we are a non-profit) and easy to use (from Boomers to GenZ) system using existing technology in a six-month contract role.

Reporting to the Director, Brand Marketing, this role is ideal for an information sciences or knowledge management student looking to put some of their theory into real world practice and benefit an organization supporting a worthwhile mission – building a healthier world.

Primary Responsibilities

Against specific business process objectives:

Conduct an audit

  • Audit of existing content assets at a range of levels of granularity and formats
  • Audit of user group current usage and future needs

Plan an approach

  • How to organize
  • How to store
  • How to access and update

Execute

  • Classify and store existing assets in system
  • Codify process and responsibilities for maintenance

Requirements

  • College or university studies in Library Sciences, Information Sciences or Knowledge Management
  • Some experience working in an office environment ideal
  • Strong understanding of the principles and practices of knowledge management
  • Strong interpersonal skills and adept at using tact, diplomacy and discretion with Foundation and hospital staff
  • Curious nature with an interest in how to encourage behaviour change and system usage
  • Team player with ability to work independently with minimum supervision and ability to manage yourself effectively in a changing environment with multiple demands
  • Attention to detail and excellent organizational, project and time management skills
  • Experience working with Microsoft Office Suite (Excel, Word, PowerPoint, OneDrive)and open to learning usage of industry specific tools such as Raiser’s Edge
  • Excellent oral and written communication skills

Work Environment

  • Collaborative, fast paced, service and results oriented environment
  • The Foundation has a hybrid work model. Staff are required to have a safe home office set-up 3 days per week and will be in office for 2 days per week (specifics to be planned with your manager)
