The Senior Associate will be responsible for auditing and analyzing the data and record keeping requirements of teams, projects, and business lines, with the goal of recommending solutions that satisfy both business and regulatory requirements. The Senior Associate will also develop an in-depth understanding of specific internal customer groups in order to provide strategic and expert advice and customer-focused solutions. As part of highly collaborative, cross-functional team, the Senior Associate will require excellent communication and relationship management skills.Responsibilities1. Corporate advisory and customer servicesProvide advice and guidance on the organization of corporate information assets, while ensuring practices adhere to record keeping standards.Advise teams on the application of content management policies and procedures, including description, storage, retention and disposition of content.Respond to ad hoc queries regarding document management within standard or negotiated timelines, while adhering to team best practices for service quality.Provides input and support in the development and maintenance of enterprise information management policies and procedures.2. Communications, awareness & trainingEnsure that Content Management team procedures and policies are clearly and effectively communicated through all program elements, including websites, internal systems, and presentations.Participate in corporate-wide awareness campaigns that support CM team initiatives.Deliver enterprise training initiatives on records managementCustomize training services to better meet the specific needs and skill level of clients.3. File Room ServicesIndex print records in the relevant inventory.Scan and upload documents.File print records in a pre-determined order.Pick up, assess and categorize print documents.Build physical storage boxes, add the boxes to relevant inventory, print box label and affix label to box.Recall boxes from offsite storage and retrieve specific records from the boxes.Verify the content of boxes match the inventory and return boxes to offsite storage.4. Records Retention and DispositionPerform disposition reviews (analyze the records, validate they can be disposed of, obtain approval from owner, etc.).Document disposition approvals and proofs of disposition.Identify and apply disposition holds.Support the maintenance of EDC’s information retention schedule and content inventory.Skills & KnowledgeCustomer service oriented and highly developed relationship management and interpersonal skillsStrong business and content analysis skills to provide efficient and creative solutions or recommendations.Active listening skills and ability to record meaningful meeting notes.Depicts a strong sense of urgency for responding to requests, solving problems and getting work doneHighly organized with excellent planning and time management skillsIntermediate knowledge of SharePoint, Word and ExcelAbility to easily learn new applications and technical toolsKnowledge and understanding of legislation, policies and industry standards relevant to management of government informationExcellent organizational skills with highly developed ability to plan and manage multiple/conflicting priorities and meet challenging deadlines, while managing workload independently.Ability to perform data entry with accuracy (ability to perform quality check)Ability to perform keyword/metadata searches in order to locate recordsAbility to lift boxes (approx. 40 Lbs. each)Ability to work in the file room located at Head Office in Ottawa at least 3 days/weekAbility to seek clarifications, escalate issues and propose solutions in a timely mannerInterest in understanding business processes/products and related recordsPrevious experience with destruction of records and transferring ownership of records to Library and Archives CanadaPrevious experience working in a file roomScreening CriteriaUndergraduate or graduate degree in Business Administration, Information Management, Library and Information Science or related disciplineMinimum 2 years of experience in a client advisory role, preferably in a records center.Excellent verbal and written communication skills in English, including strong presentation skills.AssetMaster of Information Management or Library Science from an ALA-accredited institutionIntermediate to advanced level of FrenchSalary Range$54,500 – $81,800
